01 — Who we are
The USS Animus (NCC-74293) is a volunteer fan club chapter affiliated with STARFLEET International, The International Star Trek Fan Association, Inc. We are based in Canberra, Australian Capital Territory, Australia.
This policy covers all personal information collected and held by USS Animus in connection with our websites, crew roster, membership processes, newsletter, and chapter activities. The responsible officer for privacy matters is the Commanding Officer.
02 — What law applies
USS Animus is an Australian volunteer organisation. This policy is written in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
The General Data Protection Regulation (GDPR) does not apply to USS Animus. If you are located in the European Union and have concerns about your data, please contact us directly.
03 — Information we collect and why
We collect personal information through three main channels:
Membership applicationWhen you apply to join USS Animus we collect your name, email address, optional social media handles, interests, department preference, and STARFLEET International membership status. We also collect your explicit consent for three specific uses of any photos you provide: crew roster, social media, and newsletter. This information is used to process your application, manage your membership, and contact you about chapter activities.
Contact formIf you submit an enquiry via our contact form we collect your name, email address, and message content, used solely to respond to your enquiry.
Website technical dataOur web server automatically records standard technical data when you visit: IP address, browser type, operating system, referring URL, and pages visited. This is used for security and to keep the website functioning correctly. It is not used to identify individual visitors.
04 — The public crew roster
The crew roster at roster.theanimus.org is publicly accessible. It displays the following for each active crew member:
This information is published with the member's knowledge and consent, provided at the time of joining. Members who have requested privacy are listed using pseudonyms or with partial records redacted, consistent with STARFLEET International policy.

05 — The newsletter
The Animus newsletter (The Ready Room) is published at theanimus.org/newsletter. Past issues are publicly accessible as an archive and may contain photographs of members at chapter events.
Photos of members are only included where the member has given consent via the membership application or separately on request. Members who declined newsletter photo consent at joining will not have identifiable photographs published without their subsequent agreement.
We do not operate an email subscription list. The newsletter is published on the website only.
06 — Website usage data
Our websites use standard server-side logging to record technical access data as described in section 3. We do not use third-party advertising networks, tracking pixels, or behavioural analytics platforms.
Our websites use session cookies where necessary for basic functionality. We do not use persistent tracking cookies.
07 — Third parties
We do not sell, rent, or share your personal information with third parties for commercial purposes.
As a chapter of STARFLEET International, some membership information may be shared with STARFLEET International as part of chapter registration. STARFLEET International maintains its own privacy policy available at sfi.org.
Our websites are hosted by third-party providers who may process technical access data in the normal course of providing hosting services.
08 — How long we keep your information
Membership information is retained for as long as you are an active member. On resignation, retirement, or on request, your personal information will be removed from public-facing systems within a reasonable time. Internal records may be retained in redacted form for chapter history purposes, consistent with the pseudonym practice described in section 4.
Contact form submissions are retained only as long as necessary to respond to your enquiry. Technical server logs are retained briefly for security purposes and then deleted.
